Reading vendor quotes with AI

Listen to this lesson

Nigerian voice narration

Scenario

Fictional training case. Four vendors submitted quotes for 50 desktop computers ahead of a Tenders Board review, and prior comparisons were rejected for missing warranty and VAT details. The procurement officer must build a single comparison table that exposes gaps for clarification before the board sits, not after. Work through the example, identify the evidence needed and practise the method with cleared or synthetic inputs. Any additional figures in the explanation are separate practice examples, not claimed rows in a downloadable file.

Worked example

Paste all four quotes and ask AI to tabulate unit price, total cost, delivery time, warranty period and VAT treatment for each vendor in one table. Then ask a targeted follow-up: 'Which vendors are missing required information per the RFQ?' This surfaces gaps like an unstated warranty or an ambiguous VAT-inclusive/exclusive price before the board asks the awkward question. Cross-check the totals yourself in a calculator, since one vendor's 'total' figure not matching unit price times quantity is a common error AI may carry forward uncritically from the source document. Send clarification requests to any vendor with gaps before finalising the comparison.

The method

Tabulate-then-audit: get the full comparison table first, then run a second, narrower prompt specifically hunting for missing required fields — splitting 'organise the data' from 'find the gaps' catches omissions a single combined prompt tends to skip.

Worked practice and common mistakes

Fifty units at ₦85,000 total ₦4,250,000 before any separately stated charges. Keep VAT-inclusive and exclusive quotes visibly different until their treatment is confirmed. Clarifications must follow authorised procedures, not quietly change published requirements. Missing warranty fields stay missing until supported by a response; do not copy another vendor’s terms as an assumed standard.

Review before using the result

Recalculate one vendor's total manually and confirm it matches the table. Confirm every vendor with a missing field has a clarification request logged before the board meeting.

Your workplace practice

Use the recommended free assistant with this lesson's fictional example. Ask for the output described in the worked example. Keep a copy of the input and draft. Compare the result with the verification steps above, record any correction, and retain placeholders where evidence is missing. The expected result is a checked draft for human review, not an automatically approved decision. Course examples and practice responses are fictional; amounts, dates, rules and thresholds are not official guidance or supplier quotations.
