Training needs analysis

Listen to this lesson

Nigerian voice narration

Scenario

Fictional training case. Management approved a training budget but demands evidence of actual staff needs before releasing funds, not guesswork from the HR officer. A ten-question survey must be designed, run anonymously, and converted into a ranked, budget-realistic training calendar within two weeks. Work through the example, identify the evidence needed and practise the method with cleared or synthetic inputs. Any additional figures in the explanation are separate practice examples, not claimed rows in a downloadable file.

An administrator preparing documents with a laptop

Worked example

Ask AI to draft a 10-question survey mixing rating-scale items ('Rate your confidence in Excel, 1-5') with two or three open questions, aligned to the actual functions of admin and finance staff rather than generic soft skills. Distribute it and collect responses with staff identified only by role and unit, not name. Paste the anonymised responses and ask AI to rank the needs by frequency and severity, suggest realistic formats (in-house workshop vs external course) and providers, then draft a one-page calendar. Check the proposed calendar against the actual approved budget ceiling before presenting it — a six-course plan on a two-course budget will be rejected.

The method

Rank first, sequence second: get AI to produce an evidence-based ranked list from real response data before any budget constraint is applied, then separately sequence that ranked list against the known budget — mixing the two steps lets wishful thinking override evidence.

Worked practice and common mistakes

Distinguish a training gap from missing equipment or unclear procedures. Low self-reported confidence alone does not prove a course will solve performance. Compare survey findings with task evidence, then set a follow-up measure such as fewer report corrections after a session. Verify any proposed provider separately; generated names are leads, not endorsed suppliers or approved quotations.

Review before using the result

Confirm the top three ranked needs genuinely appear most often in the raw responses, and confirm the calendar total does not exceed the approved training budget before submission.

Your workplace practice

Use the recommended free assistant with this lesson's fictional example. Draft a 10-question training needs survey for admin and finance staff. Then turn these anonymised responses into a ranked needs list and a one-page training calendar. Keep a copy of the input and draft. Compare the result with the verification steps above, record any correction, and retain placeholders where evidence is missing. The expected result is a checked draft for human review, not an automatically approved decision. Course examples and practice responses are fictional; amounts, dates, rules and thresholds are not official guidance or supplier quotations.
