Schedules, payroll checks and formulas

Listen to this lesson

Nigerian voice narration

Scenario

Fictional training case. The monthly allowance schedule must be cross-checked against the nominal roll before payment closes on Friday, with staff data involved throughout. This lesson shows how to get AI to produce transparent, checkable Excel formulas rather than unverifiable final answers. Work through the example, identify the evidence needed and practise the method with cleared or synthetic inputs. Any additional figures in the explanation are separate practice examples, not claimed rows in a downloadable file.

Worked example

Before sharing anything, Musa creates synthetic staff codes for the AI exercise; live payroll stays in the approved local system. He asks AI to write an Excel formula flagging staff numbers appearing twice within A2:A500 of the schedule, and a second formula finding staff numbers present in the schedule (Sheet1, column A) but missing from the nominal roll (Sheet2, column A). AI returns a COUNTIF-based duplicate check and an XLOOKUP-based missing-match formula, with a plain-English explanation of each. Musa tests both formulas on a saved copy of the sheet first, finds two duplicate staff numbers, and resolves them with HR before Friday's payment deadline.

The method

Request the formula and its explanation using synthetic staff IDs. Real staff numbers can still identify a person and are not automatically anonymised data. Apply verified formula guidance to live records locally within your approved process. Test valid, duplicate and missing cases before using the result for any payment schedule.

Worked practice and common mistakes

A real staff number is still identifying when linked to a person; replacing a name does not automatically anonymise payroll. Ask for formulas using synthetic IDs, then apply them to live data locally in the approved system. Test a valid match, a duplicate and a missing ID. Keep identifiers as text when leading zeros matter, and never estimate a missing allowance.

Review before using the result

Use fictional codes in a public AI exercise, test on a copy and check leading zeros, duplicates and missing matches. Real payroll stays in the approved environment; changing names to staff numbers does not by itself authorise an upload. Formula generation is separate from payment approval.

Your workplace practice

Use the recommended free assistant with this lesson's fictional example. Write an Excel formula that flags staff numbers appearing twice in A2:A500, and another that finds numbers in the schedule (Sheet1, column A) missing from the nominal roll (Sheet2, column A). Explain each in plain English. Keep a copy of the input and draft. Compare the result with the verification steps above, record any correction, and retain placeholders where evidence is missing. The expected result is a checked draft for human review, not an automatically approved decision. Course examples and practice responses are fictional; amounts, dates, rules and thresholds are not official guidance or supplier quotations.
